One system for store and till

A SaaS platform for brick-and-mortar and online stores: shared inventory, device-based stocktaking, fiscal cash register integration, automated ordering and reporting. SHOP&Free is a tech startup from Białystok. It builds compact self-checkout kiosks, a customer app with QR codes, in-app payment and e-receipts, plus a back-office panel for the store. It is also developing a marketplace that lets small stores offer delivery or order pickup. In this partnership we built the SaaS layer that brings order to the store's inventory, tills, orders and reports.

The physical store and the online shop counted stock separately.

  • Separate stock levels and reports. The physical store and the online store each kept their own stock levels and their own reports. The same products showed different numbers in different places. Nobody knew for sure how much was actually on the shelf.
  • Manual stocktaking. Physical inventory counts were done by hand. That took time, meant retyping the results and left plenty of room for mistakes.
  • Fiscal cash register requirements. By law, every in-store sale has to go through a fiscal cash register. The system had to work with it, not alongside it. Otherwise every till sale would have to be entered into the system a second time.
  • Ordering by gut feeling. Supplier orders were placed without data on stock turnover. Some products piled up while others ran out on the shelf.
  • Management wants one report. The owner needed a single view of sales and stock, not several reports pulled from different systems.
→ Our approach

One system as the single source of truth for stock.

  • Shared inventory. We built one inventory for all sales channels. In-store and online sales update the same stock level. This rules out two channels selling the same last item.
  • Stocktaking on a device. Physical counts are done on a mobile device and the data goes straight into the system. The retyping step disappears, and the store can count more often because a count takes less time.
  • Fiscal cash register integration. We connected the platform to the fiscal cash registers. A sale recorded at the till updates stock levels and reports.
  • Orders based on thresholds and turnover. The system suggests an order when stock drops below a threshold, taking product turnover into account. Decisions rest on data, not gut feeling. Fast-moving products get different thresholds than slow sellers.
  • Reports in one place. The reporting layer pulls data from every channel. Management sees sales and stock in a single view. No more waiting until month end for a report stitched together from several systems.
  • An API as the foundation. The platform has an API for connecting further systems and sales channels. Growing the product does not require rebuilding the core.
  • One stock level for every channel. A product sold in the store disappears from the online store's stock. Customers cannot order online something that is no longer there.
  • Discrepancies visible instantly. Staff scan products during the count and the system compares the result with the stock level. Discrepancies show up without manual counting.

How it came together.

Store process analysis

We mapped how the store receives goods, sells, counts stock and places orders. We pinpointed where the data drifted apart. That determined the order of the work that followed.

Shared inventory and API

We built the core of the SaaS platform with a shared inventory for in-store and online channels plus an API for integrations.

Stocktaking module

We delivered a module for physical counts on a device. Count results correct stock levels immediately, and discrepancies are visible to the owner.

Fiscal register integration

We connected the platform to the fiscal cash registers so in-store sales show up in the system in real time.

Order automation and reports

We rolled out threshold and turnover based ordering plus a reporting layer for management.
